Parts Inventory Management
The Parts Inventory module provides comprehensive control over your parts stock, from catalog management to stock level tracking.
Parts Catalog
The parts catalog contains all parts available in your inventory:
- Part numbers (unique identifiers)
- Descriptions
- Stock levels (physical and available)
- Cost prices (pre-VAT)
- Selling prices (pre-VAT)
- Bin locations
- Supplier information
Stock Levels
The system tracks two types of stock:
- Physical Stock: Actual quantity in stock
- Available Stock: Physical stock minus reserved stock (status R)
Formula: Available Stock = Physical Stock - Reserved Stock
Adding Parts to Catalog
Parts can be added to the catalog in several ways:
- Manual entry via Parts Management interface
- Auto-created when booking in parts from suppliers
- Imported from supplier catalogs
- Created when adding parts to jobs (if part doesn't exist)
Stock Management
- View current stock levels
- Track stock movements (in/out)
- Stock adjustments and corrections
- Stock take functionality
- Low stock alerts
- Stock valuation reports
Bin Location Management
Each part can have a bin location assigned:
- Editable in stock management interface
- Search and filter parts by bin location
- Display on picking
- Reports: Parts by bin, empty bins, bin location reports
- Audit trail: Bin location history and updates tracked
Supersession Tracking
Link superseded parts to replacements:
- Auto-suggest replacements when part is superseded
- Track supersession history
- Update jobs with replacement parts
Parts Search
Search parts using:
- Part number (exact match)
- Word search (description keywords)
- Bin location
- Supplier
- Stock status
