Deals & Enquiries Management

The Deals & Enquiries module manages the complete vehicle sales process from initial enquiry through to deal completion.

Creating Enquiries

When a customer shows interest in a vehicle:

  1. Navigate to: Showroom / Enquiries
  2. Click "New Enquiry"
  3. Enter customer details (or select existing customer)
  4. Select vehicle of interest
  5. Add enquiry details:
    • Enquiry type (phone, email, walk-in, online)
    • Source (website, referral, walk-in, etc.)
    • Notes and requirements
    • Budget range
    • Preferred contact method
  6. Assign to sales person
  7. Set follow-up date
  8. Save enquiry

Enquiry Status

Track enquiry progress:

  • New: Initial enquiry received
  • Contacted: Customer has been contacted
  • Viewing: Customer viewing vehicle
  • Negotiating: Price negotiations in progress
  • Converted: Enquiry converted to deal
  • Lost: Customer not proceeding

Creating Deals

Convert an enquiry to a deal:

  1. Open the enquiry
  2. Click "Convert to Deal"
  3. Deal is created with enquiry information
  4. Or create deal directly from vehicle listing

Deal Management

Manage the complete deal process:

  • Vehicle Details: Vehicle being sold
  • Customer Details: Buyer information
  • Pricing: Agreed price, discounts, part exchange
  • Finance: Finance options and applications
  • Documents: Required paperwork
  • Payments: Payment tracking
  • Delivery: Delivery date and arrangements

Deal Status

Track deal progress:

  • Draft: Deal being created
  • Pending: Awaiting customer decision
  • Agreed: Terms agreed, awaiting completion
  • Finance Pending: Finance application in progress
  • Ready for Collection: All paperwork complete
  • Completed: Vehicle delivered, deal complete
  • Cancelled: Deal cancelled

Part Exchange

Handle part exchange vehicles:

  • Add part exchange vehicle details
  • Set part exchange value
  • Assess part exchange condition
  • Calculate net deal value
  • Track part exchange vehicle

Finance Management

Manage finance applications:

  • Select finance provider
  • Enter finance application details
  • Track application status
  • Record finance approval/rejection
  • Link finance to deal

Sales Pipeline

View and manage sales pipeline:

  • See all enquiries and deals
  • Filter by status, sales person, date
  • Track conversion rates
  • Identify bottlenecks
  • Forecast sales

Deal Documents

Manage deal paperwork:

  • Sales contract
  • Finance agreements
  • Part exchange documentation
  • Vehicle registration documents
  • Customer identification

Reporting

Generate sales reports:

  • Sales performance by sales person
  • Conversion rates
  • Average deal value
  • Sales by vehicle make/model
  • Finance penetration
