Customer & Vehicle Profiles
The Customer & Vehicle Management module provides comprehensive profiles for all customers and their vehicles.
Registration Lookup
The quickest way to access customer and vehicle information is via registration lookup:
Search by Registration
- Enter vehicle registration number
- System searches for vehicle
- If found, displays complete customer/vehicle profile
Profile Information
When a vehicle is found, the profile displays:
- Customer Information: Name, contact details, address
- Vehicle Details: Make, model, year, VIN, color, etc.
- All Vehicles: All vehicles linked to customer
- Service History: Complete service history (all previous visits)
- Next Service: Next service due date/mileage
- Next MOT: Next MOT due date
- Outstanding Recommendations: Previous recommendations made
- Customer Notes: Notes and preferences
Missing Vehicle Data Capture
If vehicle not found, system prompts for vehicle information:
Required Fields
- Registration: Mandatory (must be entered)
Optional Fields
- Make, Model, Year
- VIN
- Mileage
- Color
- Other vehicle details
Progressive Data Collection
- User can skip optional fields if needed
- System remembers skipped fields
- Asks again on next lookup
- Build profile over time
Customer Profiles
Each customer profile contains:
- Personal information (name, contact, address)
- Account information
- Payment terms and credit limits
- Communication preferences
- Service history
- All vehicles linked to customer
- Notes and preferences
Vehicle Profiles
Each vehicle profile contains:
- Vehicle details (make, model, year, VIN, registration)
- Mileage information
- Service history
- Next service due date/mileage
- Next MOT due date
- Outstanding recommendations
- Vehicle-specific notes
Quick Actions
From customer/vehicle profiles, you can:
- Create new job (Service WIP or Parts WIP)
- View service history
- View invoices
- Send communications
- Update customer/vehicle information
