How Warranty & Recall Management Works

A complete system for tracking warranties, processing claims, and managing recalls.

1. Warranty Registration & Tracking

When vehicles are sold or serviced, warranty information is registered in the system including warranty type (manufacturer, extended, parts, labour), start date, end date, mileage limits, and coverage details. The system automatically tracks warranty expiry dates and mileage limits, sending alerts when warranties are approaching expiry or when vehicles exceed mileage limits. Warranty status is displayed on vehicle records and job cards, ensuring proper warranty application.

2. Warranty Claim Processing

When warranty work is performed, warranty claims are created with complete details including vehicle information, work performed, parts fitted, labour carried out, and costs. The system validates warranty coverage, ensuring claims are within warranty periods and mileage limits. Claims are submitted to warranty providers (manufacturers, warranty companies) with required documentation including invoices, photos, and technical reports. Claim status is tracked from submission through to approval and payment.

3. Warranty Claim Approval & Payment

Warranty providers review claims and approve or reject them based on coverage and documentation. Approved claims are paid according to warranty terms, and payments are recorded in the system. Rejected claims are flagged with reasons, allowing resubmission if appropriate. The system tracks claim approval rates, payment times, and claim values, providing insights into warranty performance.

4. Recall Management

When manufacturers issue recalls, recall information is entered into the system including affected vehicles (by VIN, make, model, year), recall description, required actions, and deadlines. The system identifies all affected vehicles in the customer database and creates recall records for each vehicle. Customers are automatically notified of recalls via email, SMS, or letter, with multiple reminder sends to ensure completion. Recall completion is tracked, and the system generates reports showing recall status and completion rates.

5. Recall Work Processing

When customers bring vehicles in for recall work, recall records are linked to job cards, ensuring proper documentation and warranty coverage. The system validates that recall work is performed correctly and tracks completion. Recall work is typically covered by manufacturers, and the system ensures proper claim submission and payment. Completed recalls are marked in the system, and customers receive confirmation of completion.

6. Warranty Revenue Protection

The system ensures that warranty work is properly claimed and paid, protecting revenue that would otherwise be lost. Warranty claim tracking identifies unpaid claims and ensures follow-up. The system generates reports showing warranty revenue, claim approval rates, and outstanding claims, helping optimise warranty operations and maximise revenue recovery.

7. Compliance & Reporting

Warranty and recall management ensures compliance with manufacturer requirements and regulatory obligations. The system maintains complete records of all warranty claims and recall completions, providing audit trails for compliance purposes. Reports show warranty performance, recall completion rates, and compliance status, helping maintain good relationships with manufacturers and warranty providers.

8. Customer Safety & Communication

Recall management prioritises customer safety by ensuring all affected customers are notified and recall work is completed promptly. The system tracks recall completion rates and identifies customers who haven't responded, allowing proactive follow-up. Complete recall history is maintained for each vehicle, ensuring safety issues are properly addressed and documented.
