How Showroom Management Works
A complete sales workflow from enquiry to vehicle delivery.
1. Vehicle Stock Management
When vehicles arrive at your showroom, they're added to the system with complete specifications including make, model, year, mileage, price, and features. Each vehicle can be assigned to a specific location, tagged with custom tags for easy filtering, and have multiple high-quality images uploaded. The system tracks vehicle status (For Sale, Reserved, Sold, etc.) and automatically updates stock levels.
2. Enquiry Capture & Management
Enquiries are captured through various channels (website, phone, walk-in) and stored in the system with customer details, vehicle interest, and enquiry source. Each enquiry is assigned to a salesperson and tracked through stages: New, Contacted, Viewing Booked, Test Drive, Negotiating, and Converted. The system sends automated reminders for follow-ups and tracks conversion rates.
3. Deal Creation & Pipeline
When an enquiry progresses to a serious buyer, a deal is created linking the customer, vehicle, and salesperson. The deal moves through pipeline stages: Enquiry, Viewing, Offer, Finance, Documents, and Completed. Each stage has specific actions and requirements. The system tracks deal value, deposit amount, finance details, and expected completion date.
4. Finance Calculation & Application
The system includes a built-in finance calculator that generates multiple finance options based on deposit, term length, and interest rates. Sales staff can present different finance packages to customers. When a customer chooses finance, a finance application is created with all required details. The system tracks finance status and integrates with finance providers for decision in principle (DIP) and full approval.
5. Document Management & Verification
All deal documents are uploaded and stored securely within the system. Required documents include proof of identity, proof of address, driving licence, insurance, and finance documents. The system tracks document status (Pending, Received, Verified, Rejected) and sends notifications when documents are required or need verification. Document expiry dates are tracked with automatic reminders.
6. Payment Processing
Payments are recorded against deals including deposits, part payments, and final balances. The system supports multiple payment methods (cash, card, bank transfer, finance) and tracks payment status. Deposits can be held against deals and automatically allocated to the final invoice. Payment receipts are generated automatically.
7. Deal Completion & Vehicle Handover
When all documents are verified, finance is approved, and payment is complete, the deal moves to completion. The vehicle status automatically changes to "Sold" and is removed from available stock. Handover documentation is generated including vehicle registration documents, warranty information, and service history. The system records completion date and handover details.
8. Activity Tracking & Reporting
Every action within the showroom system is tracked including vehicle views, enquiry creation, deal updates, document uploads, and status changes. The system generates comprehensive reports on sales performance, conversion rates, stock turnover, finance penetration, and salesperson performance. Real-time dashboards provide instant insights into showroom operations.
