How Technician Management Works

1. Technician Profile & Skills Management

Each technician has a profile with personal details, employment information, skills matrix, and hourly rates. The skills matrix tracks which types of work each technician is qualified to perform (e.g., diagnostics, engine work, electrical, bodywork). This information is used when allocating jobs to ensure technicians are assigned work appropriate to their skills. Technician profiles can be updated as skills develop or certifications are obtained.

2. Job Allocation & Assignment

Service managers allocate jobs to technicians based on skills, availability, and workload. The system displays each technician's current assignments, active clock-ins, and completion status. Jobs can be reassigned if needed, and the system tracks all allocation changes. Technicians receive notifications when new jobs are assigned to them, ensuring they're aware of their workload.

3. Electronic Clocking System

Technicians clock on to jobs and specific labour lines through the mobile-friendly technician portal. When a technician clocks on, the system records the start time and links the time record to the job and labour line. Technicians can clock on to multiple labour lines throughout the day, and the system automatically calculates total time spent. Clocking off records the end time and updates the labour line with actual hours worked, replacing estimated times with actual times.

4. Time Record Classification

Time records are classified as productive (time spent on billable work) or non-productive (breaks, training, waiting for parts). The system tracks both types of time separately for accurate productivity analysis. Overtime is automatically calculated based on daily or weekly thresholds, with configurable overtime rates and multipliers. All time records are stored with timestamps, job references, and labour line details.

5. Time Summaries & Reporting

The system generates time summaries for each technician showing daily, weekly, and monthly totals. Summaries break down time by productive vs non-productive hours, overtime totals, and time spent on different job types. Reports can be filtered by date range, technician, or job type, providing detailed insights into technician performance and workshop efficiency.

6. Wage Calculation

Hourly rates are configured per technician, with support for different rates for standard hours and overtime. The system calculates gross pay based on hours worked, applying overtime multipliers where applicable. Wage calculations include standard hours pay, overtime pay, and total gross pay. Calculations can be exported for payroll processing or integrated with payroll systems.

7. Technician Portal Access

Technicians access their jobs, clock in/out, and update job status through a mobile-friendly portal accessible from tablets or smartphones. The portal shows assigned jobs, job details, parts required, and labour lines. Technicians can view service history, add notes, and update job progress without returning to office computers. The portal is optimised for workshop use with large buttons and simple navigation.

8. Performance Tracking & Analytics

The system tracks technician performance metrics including jobs completed, average job time, productivity, and customer satisfaction. Performance reports help identify top performers, training needs, and efficiency improvements. The system compares actual time vs estimated time to identify areas for improvement and ensure accurate job costing.
