How the POS System Works

1. Creating Service WIP Transactions
Service advisors can quickly create work-in-progress (WIP) transactions for service work. The system allows linking to existing customers and vehicles, or creating new records on the fly. Labour lines are added with RTS codes and estimated time, while parts are added from inventory with automatic price lookup. The system calculates totals in real-time including VAT at 20%.
2. Parts-Only Sales
For walk-in customers purchasing parts only, a parts POS transaction is created without labour lines. Parts are added from inventory, discounts can be applied at line item or transaction level, and the system supports both account customers and cash sales. Quick customer lookup or creation streamlines the process.
3. WIP Management & Editing
All WIP transactions are stored and can be edited before invoicing. Service advisors can add or remove items, adjust quantities, apply discounts, and modify customer details. The system maintains a complete history of all changes with audit trails. WIPs can be converted to full job cards if workshop processing is required.
4. Invoice Generation
When ready, WIP transactions are converted to invoices with a single click. The system generates professional invoices including all line items, VAT calculations, payment terms, and customer details. Invoices can be printed immediately or emailed to customers. The system automatically updates stock levels when parts are invoiced.
5. Payment Processing
Payments are recorded against invoices with support for multiple payment methods including cash, card, cheque, and account payments. The system tracks payment status and outstanding balances. Partial payments are supported, and deposits can be allocated to invoices. Payment receipts are generated automatically.
6. Customer Account Management
Account customers can be set up with credit limits and payment terms. The system tracks outstanding balances and sends automatic reminders for overdue invoices. Account customers can receive invoices for later payment, while cash customers pay immediately. Complete sales history is maintained for all customers.
