How Service History & Reminders Work

1. Automatic Service History Recording

Every job card completed in the DMS system automatically creates a service history entry for the vehicle. The system records service date, mileage, work performed, parts fitted, labour carried out, and technician details. Service history entries are linked to both the vehicle and customer, creating a complete record that can be viewed from either perspective. All entries are timestamped and cannot be deleted, ensuring data integrity.

2. Service History Viewing & Analysis

Service advisors can view complete service history for any vehicle, showing all past services in chronological order. The system displays service dates, mileages, work performed, and costs. Service history can be filtered by date range, service type, or specific work items. Analysis tools identify service patterns, recurring issues, and maintenance intervals, helping advisors make informed recommendations.

3. MOT Reminder System

The system automatically tracks MOT expiry dates for all vehicles and generates reminders at configurable intervals (typically 30 days, 14 days, and 7 days before expiry). Reminders are sent via multiple channels including email, SMS, and in-app notifications. The system tracks reminder delivery and customer responses, ensuring no MOTs are missed. Reminders continue until the MOT is renewed or the vehicle is removed from the system.

4. Service Reminder Configuration

Service reminders can be configured based on time intervals (e.g., every 12 months) or mileage intervals (e.g., every 10,000 miles). The system calculates next service dates based on last service date and vehicle usage patterns. Multiple reminder sends can be configured (e.g., 30 days, 14 days, 7 days before due date) to maximise booking conversion. Reminder templates can be customised with personalised messages.
